A change is not a message
A status moving on Monday.com is a fact about the work. An email is a decision to interrupt someone. Those are different events, and most client updates smash them together.
Orbit Signal refetches the board. It does not trust the webhook body. The first confirmed picture of a project can publish without an email. Later diffs are judged one by one. A date change, a block, a delivery claim, or a missing source row waits for a person unless the workspace has recorded an exception.
When a person approves, they approve the wording. Email is a checkbox on that decision, not an automatic side effect. The outbox keeps one message per published revision, project, and recipient. Quiet hours hold it until morning. A send that might have gone out is not retried, because a second copy is worse than a delay.
The client still has a portal if nobody sends mail. The portal is the record. The email is a pointer to it.
